Worldone Technical Translation Terms & Conditions

Due to the nature of translation work, minor misunderstandings may arise as the scope of work can sometimes be unclear.

To prevent such issues, we hereby set forth our position under the following terms and conditions.

1. Definitions

1.1 Translation

“Translation” refers to the process of converting one language into another and includes review, proofreading, and editing.

1.2 Errors

“Errors” refer to typographical mistakes, omissions, mistranslations, and inaccuracies. A mistranslation means that the translated content differs in meaning from the original text. A sentence that conveys the same or substantially similar meaning as the original text and conforms to standard grammar of the target language shall be considered correct. For example, an error rate of 0.5% means that 0.5% of the total words in the delivered translation contain errors.

1.3 Specialized Terminology

“Specialized terminology” refers to terms that are used only within specific fields and are not found in general dictionaries, including newly coined terms.

2. Principles of Translation

We perform translation services by faithfully converting the meaning of the original text into another language. If errors are found in the delivered translation, we will correct them in good faith within three (3) months after delivery. While we strive to maintain a high level of accuracy and quality in both content and expression, such quality is not guaranteed.

3. Legal Liability

Unless caused by intentional misconduct, the Company shall not bear any legal liability beyond the compensation specified below, even if the quality or content of the translation does not meet the client’s expectations.

4. Quality Guarantee and Compensation

We guarantee that the error rate of delivered translations will not exceed 2%. If the error rate exceeds 2%, we shall compensate up to 20% of the contract amount. This error rate does not apply to specialized terminology or source texts that are highly complex or difficult to interpret accurately. Any claim for compensation must be made within one (1) month from the date of delivery.

5. Specialized Terminology and Complex Source Text

Source texts containing specialized terminology, unclear meaning, or significant grammatical errors may not be translated as-is. In such cases, the translator may interpret the meaning and proceed at their discretion. These cases shall not be included in the calculation of the error rate.

6. Obligation of Final Payment

The client shall fulfill the obligation to pay any outstanding balance within the agreed payment period.

7. Translator Qualifications

We assign translation work to qualified in-house translators or experienced external translators who are proficient in the relevant language and have been verified through prior collaboration. Clients are encouraged to request a small sample translation if they wish to assess quality in advance. However, the translator who performs the sample translation may differ from the one assigned to the main project due to unavoidable circumstances.

8. Additional Reviewers and Editors

For large-scale projects or when deemed necessary, we may assign additional reviewers or editors at our discretion. Multiple translators may be engaged for a single project if required. If native-language review is specified in the contract, it will be conducted accordingly.

9. Formation of Contract

A contract shall be deemed concluded when we issue a quotation based on the client’s materials and receive payment or a deposit in accordance with that quotation. Once the contract is concluded, neither party may unilaterally cancel or modify the scope of work or the content of the source text.

10. Confidentiality Policy

We place the highest importance on protecting client information and will not disclose any information obtained during the translation process to third parties under any circumstances. We maintain a two-tier security system to ensure confidentiality: Primary security includes access control, document protection, and secure office management. Secondary security includes internal policies, staff training, and communication controls to prevent data leakage.
